What we collect through this website, why, how long we keep it, and your rights. In plain English.

This website is run by Verona AI Ltd, a company registered in Northern Ireland, company number NI738464. Our office is at 73 Boucher Crescent, Belfast BT12 6HU.
We decide how the personal information collected through this website is used, which makes us the "controller" under UK data protection law. If you have any question about your information, email hello@veronaai.co.uk or ring 028 9068 2066.
This notice covers this website. If you become a client, how we handle your business's data during a project is set out in our agreement with you.
We only collect what you choose to send us.
| When | What |
|---|---|
| You fill in the contact form | Your name, role, business, what your business does, email address, phone number if you give it, your comments, and how you heard about us. |
| You book a call | The day and time you pick, whether you want a phone or video call, and your name, business, email address and phone number. These go into our Google Calendar so we can send you the invite. |
| You ask for a call from the savings calculator | Your name, business, email address, phone number if you give it, anything you write in the message box, and the figures you entered into the calculator. |
| You raise a support request | Your name, business, email address, and what you tell us about the problem. |
| You sign up for our monthly email | Your email address. |
| You ask for your AI readiness check breakdown | Your ten answers and score, your email address, and anything optional you add: organisation, role, sector and size. |
| You email or ring us | Whatever you tell us, and your email address or phone number. |
| You visit the website | Our hosting provider records basic technical details, such as your IP address, the pages requested and the time, to keep the site running and secure. We don't use these to identify you. |
The savings calculator works out its figures in your browser. Nothing you type into it is sent to us unless you press "Bring this to a call" and send the form.
We use your details to reply to you, arrange a call, and talk to you about your enquiry. The law calls this our "legitimate interest" in answering people who contact us, and taking steps you've asked for before any agreement.
If you take the AI readiness check, your answers stay in your browser unless you ask for the full breakdown. If you do, we email it to you and keep your answers, because you agreed to that, so we can compare them against what we find if we ever work together. They are never added to a marketing list, and you can ask us to delete them at any time.
If you raise a support request, we use your details to sort it out, as part of our agreement with your business.
If you sign up for our monthly email, we use your email address to send it, because you've asked us to. Every email has an unsubscribe link, or you can email marketing@veronaai.co.uk at any time.
We won't add you to a mailing list unless you ask to join one, and we never sell your details.
Your information is seen by the Verona AI team. We also use a small number of trusted service providers to run the website and our email:
They only use your information to provide their service to us. Some of them may store or process it outside the UK. Where they do, the transfer is covered by safeguards that UK law recognises, such as the UK's data bridge with the United States or approved contract terms.
We'll only share your information with anyone else if the law requires it.
We keep enquiries for up to two years from our last contact, so we can pick up the conversation if you come back to us. If you become a client, we keep your details for as long as we work together and then as long as the law requires for our records. If you sign up for our monthly email, we keep your address until you unsubscribe. AI readiness check answers are kept until you ask us to delete them, or for up to two years if we never work together. Hosting logs are kept for a short time only.
You can ask us to delete your enquiry sooner at any time.
You have the right to:
To use any of these, email hello@veronaai.co.uk. We'll reply within one month, and there's no charge.
If you're unhappy with how we've handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
