Questions

Straight answers.

The questions we get asked on the first call, answered the way we'd answer them in the room.

Getting started

Who we're for and what the first call is like.

Who do you work with?

We work with manufacturers, wholesalers and distributors, mostly in food and drink, across Northern Ireland, Great Britain and Ireland.

Most are owner-run or led by a managing director, with a small office team and an outside IT company that doesn't do AI.

We haven't done anything with AI yet. Is that a problem?

No. Most businesses we meet haven't started either, and the first call is built for that. We ask what keeps you awake at night and what takes your team forever to do, and the answers tell us where to look.

Someone on our team is already using AI. What should we do?

Probably nothing drastic, because what they're doing is usually helpful. The problem is that nobody senior knows what's been built, what data it uses, or what happens if that person leaves. The AI Roadmap brings it into the open, and your AI Guide & Policies set the rules so it can carry on safely.

What happens on the first call?

Thirty minutes. We explain who we are and how we work, then ask two questions: "What keeps you awake at night?" and "What takes your team forever to do?" If we think we can help, we set up a second, more detailed conversation about how the business runs, so the Roadmap is scoped and priced before we arrive. If we can't help, we say so.

Do you only do big projects?

No. A Roadmap usually turns up ten or more small wins alongside one or two bigger builds. The small ones get done on a quarterly plan. Plenty of clients never need a big build.

The AI Roadmap

Where all our work starts.

What is the AI Roadmap?

The AI Roadmap is a completely bespoke AI strategy for your business. We spend time on site talking to the people who do the work, then come back and take you through the plan in person. You get a list of the best opportunities with the saving we expect from each, visuals of your tools with your branding, quick wins you can start on straight away, and your AI Guide & Policies for the board. Grant funding may cover part of the cost, and we'll help you apply.

How much of our time does it take?

Some time from the owner or MD, and an hour or so from one person per team. We agree the timings with you before we start and work around your shifts.

What if the answer is "don't do anything yet"?

Then that's what we tell you. The Roadmap has to be worth it even if you never call us again. Sometimes the right first step is a process change on a whiteboard, or an off-the-shelf tool, and we'll say which.

Do we get something we can use without you?

Yes. The quick wins use tools you already have or can buy. The findings and the AI Guide & Policies are yours to keep, to take to your board, or to another provider.

Cost and grants

What it costs and what might cover it.

What does the AI Roadmap cost?

The AI Roadmap is a fixed fee, agreed on the call before we start, once we know the size of the business and how many teams are involved. If you go ahead with a build or a quarterly plan within 30 days of the findings, £1,000 of the Roadmap fee comes off that first piece of work.

What do builds and quarterly plans cost?

Every build is quoted before you commit: what we'll build, what it costs, and what it costs to keep running. Quarterly plans come in 2, 4 or 8 days a month. We agree the work a quarter at a time and bill monthly.

Are there grants for this?

Often, yes, and they may cover part of the cost. Invest NI, the AI Collaboration Centre and others fund AI and digital work for businesses in Northern Ireland, and there are similar schemes in Ireland. Which one fits depends on your size, your sector and whether you already work with Invest NI. We'll point you to the right ones and help you apply.

Are there hidden costs?

We try hard not to have any. The running cost of anything we build is quoted alongside the build cost. If data clean-up or training is needed, it's in the quote, not a surprise afterwards.

After the build

What happens once something is live.

Do you replace our existing systems?

Almost never. Most of the work is connecting what you already have: the accounts package, the order book, the stock system. If a system really can't be saved we'll say so, and we can put a simple front end on one you can't afford to replace.

Where does what you build run?

Your choice: we host it, or it runs on your own systems. Most clients have us host it, because then we can fix things before anyone notices.

What happens when something breaks?

You call the support line. Upkeep covers hosting, fixes, updates when your other systems change, and a few hours a month of small tweaks. It's priced per project, at around 10% of the build cost a year.

What if we want to stop?

Every quarterly plan has a three-month minimum, then runs month to month, so you can move up or down a plan, or stop. Anything we've built keeps running on a small upkeep fee.

Will our team actually use it?

Getting your team to use it is the whole job, so we build it with them. The reps shape the CRM screens and the office shapes the order tool. People use what they helped design, and we stay on site through the first weeks.

Your data

The first question every finance director asks.

Is our customer and supplier data safe?

Anything we build runs in a secure environment, and your data is never used to train anything. You keep full ownership of it, and we treat it like our own. Your AI Guide & Policies set out which tools staff may use and what must never be pasted into a public chatbot.

Will you sign an NDA?

Yes, before any detailed conversation if you'd like one. We also put a data processing agreement in place for any client whose customer or staff data we handle.

About us

Who turns up.

Who actually does the work?

The people you meet on the first call do the work. We're a small, senior team, so nobody is learning on your time. The person who scopes the Roadmap runs it, and the person who runs it builds.

Have you done this before?

Yes, for a wholesale distributor, a food service supplier and a manufacturing company. The sales dashboard, the prospecting CRM and the safety system on the case studies page all came out of that work.

What makes you different from the other firms saying "practical AI"?

We make four promises: you see the saving before we build, everything is built around how you work, we stay rather than leaving a report on your desk, and we help with funding.

Nothing matches that. Try a different word, or ask us directly below.
